How Pay My Nanny handles account, payroll, tax, and payment setup information.

Pay My Nanny is operated by Relephant Inc., an Ontario, Canada corporation. These pages are not legal, tax, accounting, payroll, employment, or banking advice.

Who We Are

Relephant Inc., an Ontario, Canada corporation, operates Pay My Nanny at paymynanny.ca, a household payroll workspace for Ontario families who employ a nanny. This policy explains how we collect, use, disclose, retain, and protect personal information when you use the app.

Information We Collect

Account information includes your name, email address, authentication identifiers, and sign-in activity provided through Clerk.

Household payroll information includes employer details, CRA payroll account details you enter, province, remitter settings, employee profile details, hours, rates, vacation pay, deductions, remittance records, T4 draft information, notes, and documents or form status you save.

Payment setup information includes Stripe customer, setup session, mandate, connected account, payout, transfer, and payment status identifiers. We do not ask you to give us online banking passwords, and the app is designed not to store full bank account numbers.

Technical information includes device, browser, approximate location from network data, logs, cookies, diagnostic events, and security records needed to operate and protect the service.

How We Use Information

We use information to create and secure accounts, save payroll records, calculate and display payroll estimates, prepare remittance and T4 draft workflows, support payment setup, provide customer support, troubleshoot issues, prevent misuse, and meet legal and operational obligations.

We may use aggregated or de-identified information to understand product usage and improve the service, provided it no longer identifies a specific household, employer, nanny, or account.

Service Providers

We use service providers to run the product, including Clerk for authentication, Supabase for database hosting, Stripe for payment setup and money movement, and Railway for application hosting.

These providers may process information in Canada, the United States, or other jurisdictions where they or their subprocessors operate. We use them only for business purposes tied to operating, securing, supporting, and improving the service.

Payroll, Tax, and Banking Data

Payroll records can include sensitive employment, compensation, tax, and banking-related information. You should only enter information you are authorized to provide and use for household payroll administration.

Stripe handles bank payment method collection and connected account onboarding. Stripe may require identity, risk, and compliance information before payment capabilities are available.

Disclosure

We disclose information to service providers, to your authorized users or representatives, where required to complete payment workflows, where required by law or legal process, to protect rights and security, or as part of a business transaction such as a merger, financing, or sale.

We do not sell household payroll records or nanny payroll information.

Retention

We retain account and payroll information for as long as needed to provide the service, comply with legal, accounting, tax, audit, and dispute obligations, enforce terms, and maintain backups.

When information is no longer required, we delete, anonymize, or archive it according to operational and legal requirements.

Safeguards

We use administrative, technical, and organizational safeguards intended to protect personal information, including authentication, access controls, encrypted transport, provider security features, logging, and least-privilege operational practices.

No internet service can guarantee absolute security. Contact us promptly if you believe your account or payroll data has been compromised.

Your Choices

You can request access to, correction of, or deletion of personal information by contacting us. We may need to verify your identity and may retain information where required for legal, payroll, tax, dispute, fraud prevention, or security reasons.

You can stop using the service at any time. Some records may remain in backups or archives for a limited period before deletion.

Children

The service is intended for adults managing household employment. It is not directed to children, and children should not create accounts.

Changes

We may update this policy as the product, providers, law, or operating practices change. The updated date at the top of this page shows when the latest version took effect.
